Information for Hosts

IW 2024_Homepage_2

Thank you for your interest in participating in the IW 2024! Here you will find all important information.

What is the International Week?

Every year in spring, guests from all over the world come to HSBI for a week and bring their international perspectives to courses and research projects at all locations. There are also numerous information offers on stays abroad and activities by international students.

IW 2024 will take place from 13 to 17 May 2024. Guests can either attend the entire IW or just individual days.

You can get some impressions of the International Week @ HSBI in the following video: https://t1p.de/0m5wh

Who can invite guests?

Professors, academic staff and lecturers for special assignments can invite guests.

Who is eligible as a guest?
  • Lecturers and researchers from the same or related disciplines from foreign universities,
  • Foreign practitioners (e.g. representatives from non-profit organisations, NGOs, social or medical institutions and companies abroad),
  • Foreign artists and designers.

Guests can participate in the IW virtually or on site. They must either be involved in research projects or in regular courses (Bachelor or Master) taking place between 13 and 17 May 2024 at HSBI. In courses, guests can (co-)design a session in German or English so that students receive international input on the course topic.
How are arrival, accommodation and departure of the guests organised?

Guests organise their own arrival, accommodation and departure. The organising team provides guests with travel information and a list of accommodation options. Guests can either participate in the entire IW or just individual days.

How is a guest’s visit financed?

Guests attending the IW virtually will not receive any funding from HSBI.

Guests participating in the IW on site have two funding options:

  • Guests from countries participating in the Erasmus+ programme can apply for funding for a staff mobility at their home institution.
  • Guests who are not eligible for funding through the Erasmus+ programme will receive an honorarium for teaching one or more courses that impart knowledge within the framework of HSBI’s curricula or teaching programmes, or for pursuing a research project during the IW:
    • Honorarium for guests from within Europe: €400 + €85 per day of participation
    • Honorarium for guests from outside Europe: €1,000 + €85 per day of participation

Please note: The possible participation days are 13, 14, 15, 16 and 17 May. All honoraria will be paid out after the end of the IW and can be used, for example, to pay for travel and hotel expenses. Travel tickets/hotel bills must be submitted as a proof of the days guests have participated.

How and until when can guests be invited?

You can use our digital flyer to inform the guest you would like to invite about the IW. Discuss on which days of the IW the guest would like to participate. Your guest can then register via the online form (linked on the digital flyer) and indicate that you will be their host. The deadline for registration is 31 December 2023.

We will try to make it possible for as many guests to participate as we can, but we only have a limited budget for honorarium payments. You and your guest will receive confirmation of successful registration by mid-January. Your guest will then receive an official invitation letter from HSBI and you will both receive information on further planning and organisation.

Note on export control

Higher education institutions in Germany are obliged to minimise the risk of misuse of scientific findings for military purposes outside Europe. If you teach or conduct research on subject areas that could in principle be used for military purposes, you must therefore make a special declaration when inviting guests from third countries. Invitations to guests from the European Union, Australia, Iceland, Japan, Canada, New Zealand, Norway, Switzerland, Liechtenstein, the United Kingdom and the United States are not affected by this. If your invitation is affected, we will contact you.

Who can I contact if I have any questions?

Katharina Kontowski and Maximilian Köster (International Office) will be glad to help. Please get in touch by sending an e-mail to iw@hsbi.de.
